NDIS plan management is a way to manage your funding that gives you more choice and flexibility, while taking the pressure off financial paperwork. Instead of handling invoices, budget tracking and record-keeping yourself, a registered plan manager does it for you.
It’s a great fit if you like the idea of self-management but prefer to have someone else handling budgeting, bookkeeping, and service agreements.
In this guide, we break down how NDIS plan management works, the benefits it offers, and what to consider when deciding if it’s the right approach for your NDIS plan.
What is an NDIS plan?
An NDIS plan is a personalised document that outlines the funding, supports, and goals approved for an eligible participant.
It sets out what the NDIS will pay for, how those supports can be used, and the outcomes you want to work towards over the next one to three years.
Each plan includes key details such as your current and long-term goals, funded support categories, preferred service providers, and how the plan will be managed.
Essentially, it acts as a roadmap, helping you access the right services to improve daily living, independence, social participation, and long-term wellbeing.
Your NDIS plan will be reviewed regularly to ensure supports are still suitable as your needs or circumstances change.
Ways to manage your NDIS plan
NDIA-managed NDIS plans
The National Disability Insurance Agency (NDIA) manage most NDIS plans. With an agency-managed plan, the NDIA pays your providers directly through the NDIS portal once a service has been delivered. This option works well if you prefer not to handle invoices or budgets yourself.
You can log into the myplace portal at any time to check your budgets, review past invoices and see how much funding you have left.
Agency-managed plans are the least flexible because you can only use NDIS-registered providers. In most cases, the NDIA will also need to approve any purchases you make, even smaller items under your consumables budget.
The upside is that you don’t need to handle any payments or financial admin yourself, giving you more time to arrange and attend supports.
Self-managed NDIS plans
Self-management provides the highest level of choice and control, but it also comes with the most responsibility. That’s because you (or your plan nominee) handle all financial tasks yourself, including receiving invoices, paying providers and record keeping for audits.
When your plan is self-managed, invoices are sent straight to you, so you’ll need to make sure they’re paid. You can either pay the provider and then claim the amount back through the portal, or lodge a claim first and pay the bill after the NDIS transfers the money to you.
You can use your funding with mainstream services and providers, registered or not, as long as what you’re purchasing meets the NDIS reasonable and necessary criteria.
Keep in mind that you may need to set up a separate bank account to manage your NDIS payments.
Plan-managed NDIS plans
With plan management, a registered plan manager looks after the financial side of your NDIS budget for you. This may be a specialist plan management provider or a professional accountant with experience in NDIS funding.
Plan management sits comfortably between self-management and NDIA management. You get the freedom to choose from both registered and unregistered providers, while your plan manager handles payments and bookkeeping.
They will receive the funding directly from the NDIA, pay your invoices, submit claims through the NDIS portal and maintain all required financial records.
There is a fee for plan management, but you don’t pay it out of pocket — the NDIS includes extra funding in your plan specifically to cover the cost (more on this below).
How an NDIS plan manager can help
An NDIS plan manager is someone who looks after the financial side of your plan so you don’t have to. They handle the day-to-day admin, including:
- Receiving invoices from you or your providers
- Claiming the correct funding through the NDIS portal
- Paying providers on time
- Sending you a monthly statement so you always know what’s been spent and what’s left
You still make the decisions about your supports, but your plan manager makes sure everything behind the scenes runs smoothly.
Because they specialise in NDIS funding, they can explain things clearly and help you make the most of the supports available to you.
Some plan managers can also support you to build your confidence with budgeting. This might include helping you understand service agreements, organise your supports or learn how to manage records if you want to take on more control in the future.
Benefits of NDIS plan management
NDIS plan management gives you the freedom to choose the providers you want, without the pressure of handling budgets, invoices or record-keeping on your own.
Think of it as having an NDIS-funded bookkeeper and support partner who helps you stay in control while taking care of the admin you don’t have time for.
With plan management, you can:
Choose any provider
You’re not limited to NDIS-registered providers. This means you can work with your preferred therapist, local community services or small businesses, even if they aren’t registered with the NDIS.
Stay in control of your budget
You decide how your funding is used. You can approve invoices before they’re paid and get clear, easy-to-read statements so you always know where your money is going.
Avoid complex administration
Your plan manager handles the time-consuming tasks: processing invoices, claiming from the NDIS portal, managing receipts and keeping accurate financial records for audit purposes.
Reduce stress and save time
With billing issues, late invoices and financial tracking taken off your plate, you can focus more on your goals, supports and the activities you enjoy.
Gain confidence with your funding
A plan manager can help you understand your budgets, learn how each support category works and feel more confident in how your plan is being used.
Have support navigating the NDIS
Plan managers are experts in NDIS funding rules. They can guide you through pricing arrangements, explain what’s claimable and help you make the most of every dollar in your plan.
Get the benefits of self-management without the admin load
You keep choice and control, but your plan manager takes care of the heavy lifting. For many people, it’s the ideal middle ground between NDIA-managed and self-managed funding.
How NDIS funding for plan management works
NDIS plan management is fully funded by the NDIS and is added on top of your existing supports, so it never reduces the budget you have for therapies, equipment or day-to-day services.
The funding is built into your plan under Capacity Building – Improved Life Choices and is paid directly to your plan manager once they start supporting you.
This funding includes:
- A set-up fee, paid at the start of every new plan, to cover onboarding and establishing your account
- A monthly processing fee, paid 12 times per year, which covers ongoing invoice processing, budget tracking and support
In some cases, the NDIS may also include additional Capacity Building hours for specific plan management support.
All plan management fees are set by the NDIS Pricing Arrangements and are not charged to you. Participants never pay out of pocket, and choosing plan management will not reduce your funding for any other supports in your plan.
FAQs
Can I use a mix of plan management types for my NDIS supports?
Yes. You can choose a combination of management types within the same NDIS plan. This means different parts of your budget can be self-managed, plan-managed, or NDIA-managed, depending on what suits you best.
For example, you might self-manage one support category to have more flexibility with providers, while keeping the rest NDIA-managed or plan-managed for extra help with payments and invoices.
Many NDIS participants find this blend provides the right balance of independence, support and control.
Am I eligible for NDIS plan management?
Yes. Every NDIS participant has the right to request plan management, and there are no eligibility requirements.
If you would like a plan manager to help you handle invoices, keep track of your budget and give you more choice of providers, you can simply ask for plan management to be added to your plan.
How do I get plan management in my NDIS plan?
It’s easy to have plan management included. You can request it at any NDIS planning meeting or plan reassessment, or call the NDIS at any time to ask for it to be added.
At your first NDIS Plan meeting, you’ll usually be asked how you want your funding managed. This is your chance to choose plan management for some or all of your budget. If the question doesn’t come up, you can let your planner know that you would like a plan manager.
A plan reassessment is also a great time to switch how your funds are managed. You can move part or all of your plan to plan management. If you haven’t had a plan manager before, simply tell your planner or LAC that you’d like it added for your next plan.
Who pays for an NDIS plan manager?
Plan management is fully funded by the NDIS, so it doesn’t cost you anything. Extra funding will be added to your plan under Capacity Building – Improved Life Choices.
This pays for all plan management services, including setting up your account, processing invoices and helping you keep track of your budget. It does not reduce funding for other supports in your plan.
When will my plan manager be chosen?
During your planning meeting, you’ll be asked how you want your funding managed. You can nominate a plan management provider at that time, or you can choose your provider after your plan is approved.
If you have a Support Coordinator, they can help you compare options and decide on the best fit.
How do I endorse my plan manager?
Once plan management is approved in your plan, you’ll need to let the NDIS know which provider you’ve chosen.
This process is called endorsement, and it must be completed before your plan manager can access your budgets or pay invoices.
You can endorse your plan manager by:
- Emailing the NDIS at [email protected]
- Calling the NDIS on 1800 800 110 and providing their provider registration number
- Speaking with your planner, Local Area Coordinator or Early Childhood Partner.
The NDIS will then update your plan so your chosen plan manager can begin supporting you right away.
Can I change plan managers?
Yes. You can change your plan manager at any time, and you don’t need to wait for your plan to renew. If you’re not happy with the service you’re receiving, or you’ve found a provider who’s a better fit, you’re free to switch.
To do this, you need to:
- Notify your current plan manager in writing that you’d like to end the service (most have a short notice period).
- Choose your new plan manager and complete their signup process.
- Ask the NDIS to endorse your new provider so they can access your plan budgets and start managing invoices.
Your funding doesn’t change, and you won’t lose access to any supports when you change your plan manager.
NDIS plan management vs Support Coordination: why many participants have both
Plan management and support coordination often work side by side, but they serve very different purposes within your NDIS plan. Understanding the difference can help you make informed choices and get the right mix of support.
As mentioned above, a plan manager looks after the financial side of your NDIS funding. A plan manager does not:
- Arrange or coordinate your supports
- Contact providers on your behalf
- Manage your calendar or appointments
- Provide advocacy or challenge decisions
- Decide which supports you can access (except where a claim doesn’t meet NDIS rules)
This is where a Support Coordinator comes in.
Support Coordination helps you implement your plan properly. The focus is on strengthening your capacity, building your confidence and helping you connect with the right supports in your community.
It involves guiding you through the process of choosing providers, creating service agreements, organising assessments, resolving any issues with your supports and preparing for plan reviews or renewals.
Therefore, many participants benefit from having both. Plan management keeps the financial administration off your plate, while Support Coordination helps you organise, understand and make the most of your supports.
Together, they ensure your funding is used effectively, your supports are set up correctly, and you have someone to turn to whenever you need guidance.
